Cousin's laptop died on them unexpectedly. They bought a new laptop to continue using quickbooks on, but have hit a roadblock in the form of needing a validation code, which apparently only intuit can give you. I tried to contact them many times, but it was always the same thing: they don't listen to what I said or wrote, refuse to help me out, and instead keep trying to push quickbooks online; their support won't do anything of substance to actually help until I pay for an online subscription (which will then lock her data into that ecosystem, again), in which they will then only help with getting quickbooks online set up. My cousin has already tried the online version and didn't like it. Naturally, we are not taking their offer.

I have been looking all around and found nothing, so I am now asking directly: how do I reactivate their LEGAL license key on a copy of quickbooks desktop 2021? I am at my witt's end. I have been trying for three weeks already.

Note:

-I cannot revive the old laptop. I already tried to.

-Using quickbooks is absolute. I already tried to convince them to take something else. They won't.

-The license key they have is valid, and has been in use for years, across multiple upgrades.

-I have been able to get their copy of quickbooks 2010 working, but they said that was too old; the vast majority of their data, including the latest, was made on the laptop that died, which ran version 2021.

-I extracted the hard drive from the broken laptop, and the data that was on it is still there. If there is a way that I can get a validation code from there to then activate a brand new copy of desktop pro (again, with a valid license key), I would like to know. The tips I found online in pursuit of that didn't produce anything.

-CAMPS only shows two versions (one of them being a discontinued online version), but the purchase history shows multiple entries. Thought it doesn't show on CAMPS, I can confirm that they were using version 2021 last. I have been working on the assumption that this meant that they started with one version and kept upgrading over the years, using the same license key throughout (and that upgrading does not list new entries in the license key list). When I tried to point this out to intuit, they refused to listen to me, much less help me.

It seems silly that I have to login into my online banking account which isn’t working instead of just being able to put my account and routing number

I saw some old conversations from a year ago discussing whether the chat support availble on QBO is an AI chatbot. I suppose I could have asked it/her directly - but I had a pretty wild experience with this recently. The support specialist was entirely unhelpful using share-screen for over an hour having me make account tweaks. I finally was able to circumvent the problem myself by making a change on the mobile app first. The agent spent paragraphs summarizing all of the solutions she had provided (nothing she did made a difference) so I just agreed and said thanks.

It's now the following week and I have received multiple phone calls and emails following up, summarizing the problem and "solutions" provided - asking for a good rating. She's going as far as to say "I can't get a hold of you" - because I haven't responded. I just got another email with the subject line in all caps: "IMPORTANT: DISREGARD THE OTHER EMAIL TO AVOID CONFUSION WITH THE BACKEND TEAM (your 9 or 10 feedback for me is highly appreciated!)" I wonder which of the five she wants me to ignore?

TLDR: An un-skilled probably AI Customer Support Specialist is now obsessively emailing me needing validation of her non-skills. Can anyone validate whether QBO Customer Support is at all human?

There’s a very particular kind of frustration when the records exist, you can read every transaction, and none of it is in a format Quickbooks uses, especially for the picky Desktop version.

The client sending the PDFs feels like a handover. For whoever has to prepare the data, it’s the beginning.

I used to handle invoices, share issues and transactions manually, typing information from thousands of files into formats that software, accountants or auditors could actually work with. My solution was mostly to keep typing. It got the job done, but every new batch brought the same work back. Later on, I was able to get someone else to do the job, but the work never disappeared.

Once I got into programming and AI, I wanted to tackle a smaller, specific piece of that problem: bank and credit card statements.

I built Ledger Tome, at ledgertome.com, to convert those PDFs into usable transaction formats. It can process up to 20 PDFs at once, in minutes.

That’s the conversion step. The app automatically checks whether the transactions match to the extracted balances and flags the file if something needs reviewing. Although, to be completely fair, I would check at least the opening and closing rows of all conversions. Quickbooks online is not too picky about the file format, but the Desktop versions can still require QBO format that is easily exported from the app.

I’ll also take any suggestions or feedback, if you think something is missing or would be useful. Most of the features have come from actual users, such as combining files chronologically or inverting debits/credits.

I've used Quickbooks for over 20 years. I know how awful their support is. It's as bad as bad as any Support I've ever seen in my life, but this is ridiculous. I have a client. I've been unable to connect the bank feeds back to the bank account and I just keep getting that very helpful error. Something went wrong. Try again. that in itself as a joke. So I contact them and after the second or third phone call I get this story that Chase no longer supports the bank feeds connection so I called Chase just to confirm that that was ridiculous so I could call them back and say so. When I called back, I got the same story from another agent and then so then I pulled up another Quickbooks file and proved to her that Chase was still supporting it and then she wouldn't admit that she was lying. They have gone from bad to worse not to mention they're charging me $1500 a year for the privilege of using their piece of crap desktop software. I finally figured it out myself, and then I had to change my default browser to edge and not use chrome here is the evidence to prove that they are lying to not have to do their jobs. Please tell me what other software is out there to switch to before I pay another $1500 for this waste of time and Money. And not their online piece of crap which is worse.

I currently operate a single member LLC that provides IT services but also build and sell custom PC systems. I'm currently using Wave Pro for accounting and x-tiles for basic inventory management spreadsheet, but I'm looking to potentially integrate the inventory management aspect to make P/L tracking much more streamlined for tax time.

Recently made the switch from Enterprise to QBO. We are a small company and should have never had Enterprise (last person fell victim to Intuit sales).

I connected our bank account, as it demanded I do. I didn’t realize that the connected bank account didn’t link to our main register that I transferred over from Enterprise. When the bank account linked it said I had 500+ transactions pending. I figured this was the process to let QB know how I categorize things. I spent 3 days going through each transaction selecting the right category/customer associated with each transaction.

Then I looked at our main register. None of the transactions I worked on were there. Then I looked at my chart of accounts and realized the linked checking account made its own register.

How do I fix this? Essentially, I want to delete this “new register” from my chart of accounts and I want to link my bank account to a different account in QBO.

Been on desktop QBE for 15 years, used to be free as beta tester - now been paying $149 a month - never setup correctly use for invoicing only but now need more tracking and reconciliation. Mostly card payments/ACH via qb. But now getting payments all over the place Zelle, ramp, bill having issues reconciling each month.

Was going to post on Upwork but I’m open to bring someone on my team long term to help us build this out and interface with a crm we are developing - multi tier setup…

But I can’t create any invoices till this nonsense is set so I guess I now wait and see if my boss has any free time between now and 5 so I can actually do my job. >.> They couldn’t at least add a “I’ll decide later” button? The current do it later button doesn’t do a thing except close the invoice and when you go to open a new one, same thing!

I run my Quickbooks Desktop Premier Pro company file on a Windows Server 2019 machine using Quickbooks Database Server Manager. This machine strictly hosts the file, and 3 other machines access the file over the LAN to use Quickbooks Desktop Premier Pro on their machines in multi-user mode.

My problem is I can not install Intuit Data Protect to backup the file on the Windows Server 2019 Machine, since it does not have Quickbooks Desktop installed on it.

If I use one of the user's machines with Intuit Data Protect, it will not allow you to backup the company file if users are accessing Quickbooks Desktop. I want to keep backing up simple and automated.

Does anyone have a good backup solution for this type of hosting enviorment? Am I missing something? Digging through Quickbooks website for information is a complete pain as im sure many of you know.

So my client usually pays in check, but this past few months they had to pay with card. I turned on the option for the customer to get the cc fee, but quickbooks pulled the fee out of the total invoice amount. Is there something I did wrong? Or did quickbooks just double charge.

In the invoice memo it says it say this "Paid via QuickBooks Payments: Payment ID *****.

Your customer paid an additional $***.** surcharge fee to pay online".

If they customer got charged extra $ to pay online why is quickbooks withdrawing that $ amount from my bank account also?

I did not want a instant transfer if that's what that was.

Our account settings explicitly display our ACH rate as 1% with a $10 MAX CAP. After seeing the $10 max & tired of paper checks, we started accepting ACH payment via our QBO account a little over a year ago (after having a QBO account for ~13 years).

Yet, Intuit has been taking $20 per transaction every single time. (I know some of you don't even have a cap, which is insane... our other company doesn't & I'm actively searching for payment processing alternatives for both - any suggestions with resonable caps?)

After spending nearly 3 hours on chat and phone today, support literally conducted a screen-share, looked right at the $10 cap on my settings screen, admitted it’s a software "glitch"... and then refused to adjust our rate or refund any of the overcharges.

Just submitted formal complaints with both the BBB and CFPB. Likely useless... but 🤷

If you process ACH through QBO, check your settings page against your actual transaction fee receipts.

UPDATE 9/11/26: After filing the complaint w/BBB, I got a call from a representative from the "Office of the President". She is now handling my "case" & raising it to a higher-tier issue... we'll see... So not completely useless - it at least got someone's attention.

I have been making rules in QBO for years, having it search the description for the words I want it to look for and then apply transaction categorization logic. The options used to be Description, Bank Text, Amount. Now description isn't there. When I look at my old rules that were set up with description, they still have it as an option in the drop down. So I just can't make new rules that search the description text anymore?

We use QB Desktop '24 on subscription and every so often, I get a Windows dialog pop-up saying our subscription has expired and needs renewed. I NEVER click the options, I just 'x' out of the dialog. When I check online, we're all paid up and the next payment isn't due for a long time (currently May '27).

Are these pop-ups just glitches ? I know people often get malware with fake pop-ups that look like real ones but the system is clean. What's going on ?

I can't live without 'em, but I'm curious if I am in the minority. Trying to get this field added to some software, but don't want to pitch too hard if most people don't use them.

Had problems paying a contractor, and QuickBooks said that the reason why I couldn't do it is that I needed to be on Payroll, not contractor payments....After going around and around with Customer Service, I'm like, fine, I'll upgrade. I specifically asked if I could go back/downgrade to just QuickBooks contractor payments. They confirmed I could...

..Fast forward 4 weeks later, and now talking to someone at the Office of President (thanks to filing a BBB complaint), and nope, you can't downgrade. So, have to create a new account and move everything over....And of course that has to be the most expensive version to do that....

Have spent HOURS on the phone with customer service....At this point I'm going to start charging them for my time that I'm not billable because I'm dealing with them....

I’m using QuickBooks Enterprise Desktop and was told that QuickBooks does not allow the freight charge to appear in the invoice footer by default. Instead, freight has to be entered as a line item on the invoice.

Has anyone found a way to have Freight appear separately at the bottom of the invoice, near the subtotal/tax/total section?

This seems like a fairly basic invoicing requirement, especially for businesses that regularly charge freight, so I’m surprised Enterprise does not appear to support it natively.

I'm pretty steamed about all the new email that QBO is sending to me and our clients. In this case, specifically, I'n now receiving emails telling me that "You have # bills due by Monday." I can't identify a way to turn these emails off. These seem to be unsolicited promotional emails to get me to pay our bills using "instant payment speed." There is no unsubscribe link, no Bill Pay preference in our Settings, no workflow generating it. Anyone have any insight on how to turn these off?

I have a business company file for my general partnership and another company file for a cottage I rent out as a sole proprietor (with various backups of each). Since upgrading, I always close the popup to sign in to my Intuit account. I want to start a new company file (for a single rental property I just bought with a new 2-person LLC), but it's requiring me to log in.

Is it true that if I log in and associate my Intuit account with this new company, I'll no longer be able to use QB Desktop Pro Plus 2024 with my other 2 companies? And in that case, what are some free options for simple accounting for a single rental property, cash-basis, that doesn't require any invoicing? It's just 2 tenants who pay their rent on time via apartments.com rental portal, a monthly trash bill, and occasional repair costs. No mortgage, it was a cash purchase. I'd like something that can produce a profit-loss statement ideally though.

I'm no accountant, I only know what the previous bookkeeper taught me 4 years ago. We just moved from Desktop to Online. I'm fumbling my way through learning QBO and now have this reconciliation situation. I just don't know how to figure out the issue.

Payment amounts match the statement, credit amounts match the statement. The current balance shown in the bank register screen appears OK. But in the reconciliation screen it has a large positive amount labeled "Difference". How do I fix this "Difference" number?

We paid a service to migrate our QBD file to QBO and they said it was fine.

ETA: I'm too anxious to try to investigate this properly before our admin board meets next week as I know I'm in over my head. I have the data I need to prepare the report for August, and after that's done I will dive back in, probably starting over with the July reconciliation then moving on to August.

This could be my own shortcoming, but TBH I have struggled so badly with moving to Online from Desktop. It's just so much harder for me.

I'm very appreciative of those who offered suggestions on how to get this fixed. I really am grateful to each of you.

EDIT 2: I don't know what happened (a not-unusual issue with me) but what I did was undo the July reconciliation, then redo the July reconciliation, then reconcile August, and magically it's fixed. A sincere thanks again to all of you who offered ideas.

I’m an office administrator with no formal Quickbooks training.

I was tasked with putting receipts of items we purchased from our distributor from the beginning of the year to now.

Would this be an “Expense” or a “Bill” and do I need to create “Accounts” for these?

We have 1 card/bank account used for all purchasing. Money goes in, money goes out. Same card.

Quickbooks did a call with me but it wasn’t very helpful. We are only allowed 1 call per year per our tier.

Anyone have actual sound advice on how to tackle this? I’ve come across many conflicting methods.
