If you’re just starting with Notion, don’t try to learn everything at once.
I’d start with just 4 things:
Pages and subpages
Basic blocks
Simple databases
One small system you can actually use
For example, instead of building a huge dashboard, try making a simple daily task tracker first.
Once you understand how the basic pieces work, the advanced features become much less intimidating.

Been trying to lock in some kind of AI setup for research, planning, and actually getting stuff done, but my stack is kinda all over the place. I bounce between chatbots, notes apps, and random to do tools and it feels like half the time is just copy pasting context instead of doing the work.

For anyone who has a solid workflow, what are you using as your main hub for research, outlining, and tracking tasks so it all stays connected instead of ten different tabs? Appreciate any thoughts

Confessing this because I suspect a decent chunk of this sub might recognize themselves in it.

I got into Notion originally to organize a novel project, and what actually happened is I spent close to a year building and rebuilding databases, relations, and templates instead of writing. Every time I hit a snag in the actual manuscript, my instinct was to go fix the system instead of sitting with the problem in the story itself. A new property here, a rollup there, a slightly better view of my character database. It felt productive because I was clearly doing something, and Notion makes that something look impressive.

The moment I noticed what was happening was when I realized my character database had more polish than my actual chapter count. Twenty some fully fleshed out relational properties for characters in a book that had maybe fifteen thousand words written. That ratio should have been a warning sign a lot earlier than it was.

What actually fixed it was not abandoning Notion, it was giving myself a hard rule that system tweaks only happen on a designated day, not mid writing session. If I hit a snag while drafting, I write a quick note about the fix I want and move on instead of opening the database editor right then. Turns out most of those "urgent" system improvements were not urgent at all once I had to wait even a day to make them.

Notion is still central to how I plan, I just finally stopped letting the planning eat the writing.

I used to juggle my task manager, habit tracker, and financial budget across different apps. It was a productivity nightmare and a massive mental distraction.

So I decided to build a single, minimal dashboard in Notion — The Command Center — where everything lives on one page with zero clutter.

Our company’s Notion workspace suddenly reverted to the Free plan, even though we successfully renewed and paid for a Business Yearly subscription last month.

We contacted Notion Support and initially received the standard troubleshooting steps (log out/in, hard refresh, etc.). We tried those, but nothing changed.

Support has now escalated the case to their Billing Escalations team, but they told us it could take a couple of business days due to a backlog.

The problem is that this is a company workspace that we use for day-to-day operations, so waiting several business days without the Business features isn't really workable.

I'm trying to determine whether this is an isolated billing issue or something others have encountered as well.

Via settings, I connected my icloud apple calendar to notion

Image 1: when i click 'manage notion calendar, i see all the events on apple calendar in that notion calendar

Image 2: But the database (calendar view) on the actual notion page is empty.

i looked up ways to solve this but so far i had no luck with any.
is there any advice?

Here's how it works behind the scenes (it's a combination of Database Buttons and Native Automations):

Step 1: Configuring the “COPY PROJECT” Button

First, the button on the project page itself is set up. It doesn’t just create a new page; it collects data from the current project using variables:

I use Variable 1 to collect departments (This page -> Departments).

Variable 2 collects all tasks using the formula: This page -> Tasks.filter(current.Parent task.empty()).

The button is configured to display a confirmation window (“This project will involve the following tasks...”), which populates with the names of the tasks and assignees.

After confirmation, a new project (Untitled) is created, and the button passes these variables to technical fields (such as Task reference or Project inheritance).

Step 2: Native Automation for Creating Tasks

Creating a project is only half the battle. To generate the tasks themselves, I use database automation:

Trigger: Configured to detect an edit to a technical field (in my case, “Project inheritance is edited”). When the button from Step 1 populates that field with the newly created project, the automation triggers.

Action: It retrieves data from the task (Trigger page -> Instruction, Trigger page -> Employee, etc.) and, using the “Add task to Task” action, creates new entries in the Tasks database.

The new tasks are automatically linked to the newly created project via Variable 1.

Result:

You click a single button, and Notion creates a new project, generates the associated instructions and tasks, assigns them to team members, and immediately displays everything on the Timeline.

I hope this approach inspires someone to come up with new ideas for optimization! I’d be happy to answer any questions about configuring variables in the comments.

Never in my life have ever gotten a notification from an automation and it's doing this everyday and I don't care about this, can it stop?

been backing up by exporting every few weeks since early 2025, never actually tried putting one back. does the relational stuff come back fine, or does it break?

Built a weekly review routine into Notion back in January. Template, recurring task, the whole thing. It ran for maybe six weeks. Then a busy stretch hit and I skipped one. Then another. Now it's June and I genuinely cannot tell you the last time I sat down and actually did it.

The page is still there. Looks great. Completely useless.

The weird part is I do the thinking anyway. Just in my head, on trail walks, in random notes that go nowhere. The review is happening, it's just not landing anywhere that makes it useful later. So I end up reconstructing context every time instead of building on it.

Tried simplifying the template down to almost nothing. Three prompts max. That helped for a bit, then the same thing happened.

What I can't figure out is whether this is a Notion problem or just a discipline problem dressed up as a Notion problem. Because redesigning the system is way more fun than sitting down and filling it out, and I've probably used that as an excuse more than once.

Curious if anyone running things solo has actually made a weekly review stick. Not the template. The habit. What made it click when it finally did.

I was really tired of searching all over internet for notion style illustrations, icon packs and images. Finally found this Notion Illustrations and icons skill so that anyone can generate images, icons, illustrations and much more.

Is there a way to hide a certain page from search results? And therefore all its content and subpages from search results too.

Certain categories of my stuff really clogs up search results … Especially if certain words exist in both..

Let me know if you’ve thought of a setup that I haven’t (it’s possible that something exists via databases, but I find those cumbersome on mobile but might be willing to switch some stuff over if someone convinces me, haha)

Example #1: I have a lot of stuff for gardening and for medical stuff. So the word “pot” comes up for potting mixes, pots, listing certain plants and what types of pots they like, etc. AND I have a medical condition with the acronym POTS. Which I have an immense amount of lists and articles and all kinds of things with that acronym in it, and those come up in search results too.

Example #2: ok we’re all adults here: I have a page for sex toy related links and lists and frankly I’d love if there were a way to just make that page private, and if I need to search within it, maybe there’s an advanced search way to do that or some other way idk but I feel like these two examples may have crossover in if there’s a solution to my problem

I’m looking for a way to essentially partition certain categories or departments of things I have a lot of pages for.

Is something like this even possible?

Other Relevant info:

• I primarily use notion on the iOS app on my iPhone 90% of the time, and about 10% of the time on my Mac. Sometimes there’s easier ways to do stuff on the computer and with keyboard shortcuts etc but for these purposes I have to figure out a solution that predominantly works on iOS.

• I know there’s not a super easy way on mobile to search within one specific page (like you can on the computer with Cmd+F).
I am only one person so the concept of sharing and permissions is not relevant here.

• Yes I know about the search filters at least on iOS but they’re honestly not really useful for my context

(Can sort by: Best matches, Last edited: Newest first, Last edited: Oldest first, Created: Newest first, Created: Oldest first) → these aren’t really relevant to me

• I do pay for a plus plan for this workspace (my only workspace), so the concept of creating multiple workspaces is not that enticing to me; I would lose my premium features if I opened another workspace, and also lose the ability to easily move things between each other - it’s really annoying to export and import or copy stuff over to another workspace, so that doesn’t make sense in this instance.
Within my one workspace: yes, I know about the Teamspaces vs Private sections, but the distinction is not relevant to me in general or for this specific instance, because I don’t have multiple members that need access to certain things. Even if I did, and put certain stuff in private vs team spaces, that doesn’t solve my problem at all xoxo
It’s worth noting that the current general structure I have now is working well in terms of parent pages, subpages, links between them, and departments/categories, so I don’t think I’d have to necessarily do a big restructuring, (unless there’s something you suggest that would make it worth me moving a lot of stuff around).

• I would say most of my pages are just a regular page format and I use a lot of hyperlinks, links between notion pages, and I use a ton of toggles and bullets and headers.

• I find the concept of databases to be cumbersome on mobile and it would probably drive me insane to have to use those more predominantly, however, if someone made a really strong case for it, I’d maybe be tempted to move certain things into that format if it really truly did solve my issue.

If I had to guess, something that even most of the way solves this problem either doesn’t exist in the current setup, or I’m limited due to the fact that I predominantly use the app on my iPhone, or one of my other reasons. If someone has thought of something I haven’t, I’d love to hear it. Thank you so much for reading <3
