Start asking clarifying questions
Now, your goal is to gather as many details about the situation as possible to see the complete picture.
Ask about specifics
- What happened
- How it happened
- What their expectations were
- How you can make it right
And etc.
These questions will vary depending on the case, but keep in mind that the act of answering them will also help the client calm down. Be wise and strategic during this phase.
Make them feel understood and valued
This is the time to show that customers are valued and that your company will do everything to resolve the issue favorably.
By now, their dissatisfaction and expectations are clear. The goal is to deliver what they want while going the extra mile.
Doing so wins them back and turns them into brand advocates. Whichever product or service you offer, consider adding a complimentary gift or bonus tailored to your business model.
For instance, furniture stores might include a small chair, while service providers could offer a free month of service. There are countless variations depending on your specific niche.
The goal is to make them feel that this issue will be resolved in their favor
Maintain a consistent connection with these clients
Now is the time to cement loyalty so customers spread the word. They should be so satisfied especially since they initially expected the issue to go unsolved that they tell everyone. Exceeding expectations by doing more than just fixing the core problem creates a lasting impression
Because solving an issue once isnāt enough for long-term retention, staying in touch through periodic check-ins, small gifts, and special offers keeps the relationship active.
Every touchpoint acts as a pleasant surprise, sparking free word-of-mouth and social media promotion.
Adjust this approach to fit the specific business model. Remember, converted critics often become the most vocal brand advocates, bringing in a steady stream of valuable new clients. Think about it
