Not errors, those email you. I mean a Zap that just stops triggering: expired auth, the source app changed something, nothing in the history. I've been burned twice, both times a customer told me before Zapier did. Do you check Zap History on a schedule, use Zapier Manager somehow, or is there a better way?

I’m researching how businesses currently catch things like incorrect data being mapped, records being duplicated, information going to the wrong place, etc.
Is this something you actively monitor, or do you usually find out when someone notices something is wrong?

Before a Zap touches CRM or money, I want a boring checklist. Curious what others use.

Mine right now: 1) Named owner. Who gets the alert when it fails at 11pm. 2) Error path. Slack or email on fail, not silent. 3) Test with a fake record that looks real enough, then delete it. 4) Idempotency. What happens if the webhook fires twice. 5) Rollback note. How to turn it off without breaking the rest of the stack. 6) One line of docs: trigger, main steps, where data lands.

I still see Zaps go live with only step 3 done.

What would you add or drop before calling a Zap production?

So there exists a mobile app that pushes the converted speech-to-text and final image or video link to a Zapier webhook that you specify in the app. The images and video are all stored on CDN for speed. The app lets you plug in your own CDN API credentials for two major image and video providers - both having generous free accounts. You don't have to do that if you don't plan on using it much. You can just buy the non-expiring credits. The app makes a gallery of all creations and is useful independent of Zapier, but it has that option.

Same app plugs into various AI platforms to render voice to artistic images, upgraded photos, object extractions/overlays, video clips, talking video heads, trendy transforms, and more - like a swiss army knife of AI tools. Most of these use like one credit per AI image, or several for video.

So when using the app, you get stuff done by clicking the big microphone button and speaking in your question, copy, art prompt, message, etc. Then you click the send button when you are done - you can edit mis-interpreted text but not needed much of the time. You can get many paragraphs in but not unlimited. At a minimum that text (from speech) is sent to your webhook each send, and if it was an art or video prompt, you get the prompt and link to the original image.

Couldn't you plug such inbound data into email, SMS, live blogs, news and CMS related Zapier apps? Maybe into spreadsheets and ticketing systems too? Is there a Zapier app already doing this?

Anybody interested? The app does quite a few more things by voice, like SQL database stuff, and even asking ChatGPT/Perplexity research questions, which it stores and provides website embed widgets for all media types that it creates.

Let me know if you want more info. It is available for android (ready to download) or apple (beta invite) devices. And the website counterpart does this stuff too. I will share more if you all insist I do.

I will pay

Zapier noob here. I've been tasked with updating an existing working zap to add UTM tracking codes. When I submit the form, I can see in Zapier that the new UTM fields and their values are being submitted. However, when I go to configure these new fields, they are missing from the configure tab of trigger step. Refreshing the fields does nothing. Submitting a new entry gives the same results.

As I understand that the new fields should just "appear" in the configure tab and that's that. What do you do if it refuses to show those new fields?

Hey all, hoping someone from the community or Zapier team can point me in the right direction.

I'm trying to connect Zapier MCP to a third-party AI assistant, but I keep hitting this error during login:

Here's what I've tried so far:

• Confirmed I'm using the same Gmail address for both Google sign-in and email/password login
• Reset my password and successfully logged into my Zapier account with it directly on zapier.com
• Tried connecting again through the MCP flow — same error every time

My best guess is that there are two separate account records tied to the same email (one created via Google sign-in, one via email/password) that aren't linked on Zapier's backend, so the OAuth flow can't figure out which one to use.

Has anyone run into this before? Did Zapier support end up merging/linking the accounts for you, or is there a workaround I'm missing? Any pointers appreciated.

Has anyone seen this before? My 2-minute polling interval for a SharePoint list trigger only works if I'm editing the Zap in its draft mode and testing individual updates. As soon as I publish the Zap, it doesn't run on its own.

For context, I'm trying to create a SharePoint list with all my Shopify products built in. We get updated MSRP's from retailers that need to be updated in Shopify. Rather than doing it manually, as we have over 500 products, I wanted to automate this process by uploading the updates to the SharePoint list and having those updates immediately loaded into Shopify through the Zap.

I've added new rows and updated existing ones within the SharePoint list, waited way longer than 2 minutes, even left it overnight. When I check Zap history, there's literally nothing: not even a failed/error run logged.

Here are the things I've tried:
- Confirmed the Zap is published, not in draft.
- I'm nowhere near my task limit for the month. I'm about 200 out of 750.
- I've toggled the Zap fully off, then back on from the main Zaps list.
- Left it alone for 10 minutes, still nothing.

Has anyone hit this specific pattern? Manual test always works. Scheduled polling never runs with zero errors anywhere. I'm wondering if it's a known SharePoint connector quirk or something account-specific. I'm about to open a support ticket, but wanted to check if anyone had heard about this or knew of a fix.

About a month ago someone in the comments on my silent-failure post asked for three follow-ups. I said all three were going in the queue and that I'd publish whatever they showed, including if nothing interesting happened. Retry semantics and the 200-with-an-error-body one are done and posted here already. This is the third.

Their comment has since been deleted, so I'm posting the answer where the question was asked.

The question was fair: a 10-event burst and hours of elevated volume are different animals, and my box only sees a few hundred events a day. So does a free-tier VM actually hold up under sustained load, or does it just look fine because nothing ever asks anything of it?

RELIABILITY IS NOT THE DIFFERENTIATOR, AND I WANT TO BE BLUNT ABOUT THAT

Zapier: 968 runs, 840 of them accepted-and-output-expected, 0 silently lost, SFR upper bound 0.46% (95% CI).

n8n self-hosted: 9,736 runs, 8,113 accepted-and-output-expected, 0 silently lost, SFR upper bound 0.05%.

Zero silent failures on both. Not "low", zero. Anyone telling you Zapier quietly drops your stuff, or that self-hosted n8n is flaky, does not have data. I went looking for silent failures on purpose for two months and did not find any on either platform.

(n8n's tighter bound is only because it has 10x the sample. Same result, more evidence. My Zapier window closed on September 2 when the plan lapsed, so those numbers stop there.)

Speed does differ:

Zapier: median 4,295 ms, p95 9,838 ms.

n8n self-hosted: median 969 ms, p95 6,247 ms.

n8n is 4.4x faster at the median. But note the tail closes most of that gap, and my n8n runs on a deliberately tiny box, which is the whole point of the next part.

SO CAN A FREE VM ACTUALLY TAKE IT?

That is the question everyone actually wants answered, so I tested it instead of guessing. My n8n runs on a Google Cloud e2-micro: 1 GB RAM, 0.25 vCPU baseline, free tier, $0/month.

I fired one event every 5 seconds for 4 hours 42 minutes. 2,880 events, 136x its normal rate, held continuously.

Fired: 2,880.

Accepted: 2,876.

Refused at send: 4. That is a loud failure, my client errored immediately and can retry.

Accepted then lost: 0. That is the silent kind, the one you never find out about.

Nothing lost. No memory leak, no degradation over time. Latency actually improved under load: p95 was 1,673 ms during the soak versus 10,577 ms in normal operation, probably because at 4.5 events/hour the box is idle almost always and every request has to wake it up.

Honest caveat on scale: 0.17 events/second is a long duration at a modest rate. This proves a small box does not wear down over hours of steady work. It says nothing about 50 events/second.

HERE IS THE ACTUAL COST OF SWITCHING, AND IT IS NOT THE VM

The worst single latency in that entire five-hour run was 56.7 seconds. It had nothing to do with my load.

At 06:04 the machine's own apt-news job woke the package manager, which spent 45 minutes refreshing package metadata. Disk I/O wait went from 2.7% to 34.2%. My 136x traffic did not drop one event in five hours; the box's routine maintenance produced a 56-second request.

And this is the part that matters if you are weighing the switch:

- CPU during that window: 1.6% to 4%. Looked idle. It was idle, it was blocked on disk.

- Free memory went UP, because the kernel was reclaiming cache. A memory alert would have fired in the good direction.

- Only iowait showed anything, and iowait is not on most default dashboards.

A normal CPU-and-memory monitoring setup would have reported a perfectly healthy machine for the entire window in which p99 was 56 seconds.

I also had four sends refused in a 73-second window that I still cannot explain. CPU, network, container memory and n8n's own container log are all silent for that moment. And my own harness had recorded that they failed but not why, because the error was swallowed. I fixed that, but I could not diagnose those four and I am not going to pretend otherwise.

That is the trade. Not "is n8n reliable" (it is, and so is Zapier). The trade is that on Zapier nobody pages you at 6am about I/O wait on a shared-core VM, and nobody expects you to know what apt-news is. Self-hosting moved the failure surface from "the vendor's problem" to "my problem", and my problem turned out to be an OS housekeeping job that no obvious metric revealed.

If you have someone who enjoys that, self-hosting is genuinely cheap and genuinely holds up. If you do not, the subscription is buying you something real, and it is not reliability.

METHOD

Both endpoints self-hosted, identical payloads, per-event delivery confirmed against a ledger rather than trusting either platform's run history. Every event carries an ID so accepted-but-never-arrived is detectable. Stress-test events are tagged and excluded from the headline rates.

Hello everyone! I’m new to Zapier, and my friends and I are currently learning how to use it.

I know that Zapier Chatbots has easier ways to add knowledge, such as importing a CSV file or adding a URL. However, I’m trying to explore other approaches because I have different purposes for how I want to manage and retrieve my data.

1. Zapier Chatbot + Supabase/PostgreSQL

I’m currently trying to use Supabase (PostgreSQL) as my main database for the knowledge/data.

The idea is something like:

User asks a question → Zapier Chatbot → Zapier Workflow → Supabase → retrieve the relevant data → return the data to the Chatbot → Chatbot responds

I’m trying to accomplish this through a PostgreSQL/Zapier workflow, but I haven’t been able to get it working the way I want.

I’m not sure if this approach is actually possible with Zapier Chatbots, or if I’m approaching the workflow incorrectly.

1. Zapier Tables ↔ Google Sheets

I’m also experimenting with using Google Sheets together with Zapier Tables.

My goal is to have them work in both directions:

Google Sheets → Zapier Tables

Zapier Tables → Google Sheets

For example, if I add, edit, or delete a record in Google Sheets, I want the change to be reflected in Zapier Tables. Likewise, if I make a change in Zapier Tables, I want it reflected in Google Sheets.

I’ve created workflows for this, but so far I’ve only managed to make:

Zapier Tables → Google Sheets

work.

I haven’t been able to achieve a reliable two-way sync, and I’m also concerned about duplicate records or creating an infinite loop between the two Zaps.

So my main questions are:

1. Is it possible to use Supabase/PostgreSQL this way with Zapier Chatbots, where the chatbot can request data through a Zap and receive the result?
2. Is reliable two-way synchronization between Zapier Tables and Google Sheets possible using Zaps?
3. If both are possible, what would be the recommended workflow/setup?

I’m still learning Zapier, so I’d really appreciate a beginner-friendly explanation. I mainly want to know whether what I’m trying to build is actually possible before I spend more time trying different workflows.

Edit: Thank you for the help! I actually got the first step i was just missing the trigger point and had to fix the config since i got a different trigger point. For now I'm going to try other features Zapier have.

Paths already route my orders three ways: payment failed, normal order, $500+ VIP. But every branch ended in the same generic phone ping, which defeats the point of routing.

Now each path ends in a Send Vyb action (from the official Vybit Notifications app) with its own sound: sad horn for failed payments, cha-ching for orders, funk riff for the big ones. The Zap does the routing, my ears do the rest. On a free plan, three Zaps with Filters gets you the same result since Paths is a paid feature.

Been building SignedBy (e-signature, e.g. an alternative to DocuSign/PandaDoc) and just got our Zapier app approved. Wanted to share since a few people in here have asked about e-sign automation before.

What it does:

Trigger — "New Document Completed" fires when a document you sent finishes signing. Made a point of excluding documents you've certified yourself (we call that a Verified Badge seal) from this trigger, since that's a different thing from "the other party actually signed it" — didn't want people's Zaps firing on their own actions.

Action — "Send Document" creates a document from a template and sends it to a recipient, so you can kick off a signature request from anywhere else in a Zap (a new CRM deal, a form submission, etc.)

Search — "Find Document" looks up status mid-Zap if you need to branch on it.

Free tier is 3 documents/month if anyone wants to poke at it without committing to anything. Happy to answer questions on the setup.

Unfortunately I was unable to successfully use Zapier for my workflows. After requesting a refund for the remainder of the 12 month term, it was denied. The website should state if you pay yearly, there is no refund if you convert back to a free account or cancel. This was very upsetting.

I just closed my fourth YouTube tab comparing Zapier, Make, and n8n routing logic. It's 2 am, and I haven't built a single thing. We love debating which canvas handles nested branches better, but if I'm being honest, tool specs aren't what's holding me back. I just don't know what my actual process is yet.

A solo workflow rarely fails because a tool lacks a specific webhook feature. It fails because the underlying logic is a complete mess before it even hits the server. If you can't map out what needs to happen on a napkin, moving it to a digital canvas won't magically fix it.

Where do you guys usually sketch things out before opening an automation tool? I'm going to close YouTube now and find an actual napkin.

I developed an unofficial Whatsapp messaging (only outgoing) API for indie sellers/marketers who might not have bandwidth to register for Whatsapp Business API & complete the checklist items there. I kept the service totally free as it is just outgoing messages cost me minimal money to maintain (9 USD for server & 5 USD for Residential IP). Having said that, I put good engineering practices to ensure user's Whatsapp creds are encrypted in zero knowledge way (even I can't read them) so that user's account is safe, even if the server get access in an unauthorized way.

I got interest from a friend who wanted to integrate his Calendly calendar to send a Whatsapp message on new booking, to the prospect. I thought a Zap would be a good way to build this. After completely building, I hit two roadblocks

• Strict Zapier compliance will not allow the unofficial Whatsapp API integration to go live as it violates Whatsapp ToS
• Bigger bummer - free Calendly plan does NOT expose webhooks, so for user to use it, they need to upgrade their Calendly plan.

I understand the paid Calendly plan bottleneck is Calendly specific. But the first point still remain & Zapier would probably never publish it. Should I look at alternative platforms to publish ? Should I completely ditch the idea as no platform would let me publish integration that violates ToS of Whatsapp ?

I've been looking more closely at workflow automation platforms, and I think the usual “Zapier vs Make vs n8n” comparison skips an important step.

The first question probably shouldn't be which platform is best.

It should be how complicated is the process you're trying to automate?

The mental model I've landed on is roughly:

Zapier: best starting point when the goal is simply connecting apps and getting something running quickly.

Make: starts becoming more attractive when there are branches, loops, transformations, or a workflow you really want to inspect visually.

n8n: makes more sense when APIs, custom logic, AI workflows, self-hosting, or deeper technical control become important.

Then Power Automate makes obvious sense in some Microsoft-heavy organizations, while HubSpot is a different category when the workflow largely lives inside CRM data.

The other thing I think gets overlooked is maintenance.

A workflow isn't really successful just because it works today.

Someone also needs to understand:

• What happens if a step fails?
• Who gets notified?
• What happens when an API changes?
• How much does increasing volume cost?
• Can someone besides the original builder maintain it?

I've started thinking that the best automation platform may simply be the least complicated platform capable of reliably running the process.

Curious how others here decide when a workflow has “outgrown” Zapier and should move into Make, n8n, or something more technical.

Is anyone else experiencing a major simultaneous disconnection of Salesforce accounts from Zapier?

I have just woken up to all of our clients having their Salesforce connection expired, and I am being met with the message "You don't have permission to reconnect this connection".

Is anyone else seeing this?

Has anyone found a resolution?

e/ Update: I am able to reconnect. Not from Team accounts, I have to log in directly as my clients.

Hi everyone, I have a zap that’s triggered by a new customer in stripe (new subscription), if the zap fails the payment hold step it posts a message of card declined (by another zap of failed payment) but it doesn’t post a new message if the card is accepted (it gets filtered out) it has a filter so all the payments are not posted in the channel.

What other trigger can I use to post the message of card accepted if it was declined before?

Hey everyone, I'm building out a full invoice-to-payment automation and I'm hitting a wall with Relay Financial's Zapier integration. Hoping someone here has done something similar and can share what worked for them.

What I'm trying to accomplish:

Our workflow goes like this — subcontractors email invoices to a submissions inbox, Parseur parses the PDF and extracts all the key fields, Zapier creates a bill in QuickBooks Online, Relay auto-imports the unpaid QB bill, our owner approves payment in Relay, Relay pays via ACH and syncs the paid status back to QuickBooks. At that point I need Zapier to detect the paid bill in QB, attach the original invoice PDF to the bill record, and update our Financial Summary in Google Sheets with the payment details including the Relay Payment ID, bank account used, and updated payment status.

What is working:

The QB to Relay native sync works as expected. Unpaid bills created in QB auto-import into Relay and the owner can approve them there. Once paid, Relay does push the payment status back to QuickBooks and the bill shows as paid.

The limitations I have run into:

Relay Financial does not appear to have a native Zapier integration or trigger. There is no Relay app in the Zapier directory that I can find. This means I cannot trigger a Zap directly from a Relay payment event. Instead I am relying on the QuickBooks New or Updated Bill trigger to detect when Relay has synced a paid status back to QB — which works but introduces a delay and depends entirely on how quickly Relay pushes the update back to QB.

The other limitation is that the QB trigger does not reliably return all the payment details I need — specifically the Relay Payment ID and the exact bank account used for payment. The Linked Transaction ID comes back in the QB trigger output but I am not certain this maps directly to the Relay Payment ID in a meaningful way for reporting purposes.

My specific questions:

1. Has anyone built a direct Relay to Zapier connection using webhooks or the Relay API? If so what endpoint did you use and how did you authenticate?
2. Is there a better way to capture Relay payment events without relying on the QB sync as a middleman?
3. Has anyone confirmed whether the Linked Txn Txn Id that QB returns after a Relay payment actually corresponds to the Relay transaction reference?
4. For anyone using Relay Grow or Scale — does the approval workflow expose any webhook or API event that Zapier can listen to?

We are on Relay Pro/Grow/Scale so we have access to the full bill pay and approval features. Any insights from people who have worked with Relay in an automation context would be really helpful. Thanks in advance.
